Executive summary

CrowdPay centralizes transactions, invoices, and payouts into one platform for Finance and Project Managers.

🎯
THE GOAL

Redesign the experience to reduce manual work, improve visibility, and build a scalable payment system.

THE PROBLEM

Where the flow broke down

A. TRANSACTIONS
Manual work

Engineering support required; manual adjustments; setup errors create incorrect payments.

Limited workflow

Can't resubmit, bulk-approve, or reopen rejected transactions.

Poor visibility

Unclear rejection reasons; stale rejected items linger; no clear status.

B. PAYMENTS
Limited transparency

Failed payments lack explanations; status is hard to track; thresholds & fees hidden.

Operational bottlenecks

Generation depends on Engineering; limited bulk actions; no status history.

Poor visibility

Limited dispute resolution; country options & fee estimates missing.

Why it matters — payments affect trust, cost, and speed.

Scattered tools and manual work slowed payments and made mistakes easy to miss. Unclear status hurts contributor trust, and manual work costs more — one system makes payments faster and easier to scale.

DESIGN PROCESS

A simple, step-by-step approach

{{ s.emoji }}
{{ s.title }}

Tools: MS Teams · Confluence · Loom · Lucidchart / FigJam · v0 · Figma

Tools used across the CrowdPay process: the Payment Pain Points field map, a transaction-status flowchart, a 3-phase timeline of Transactions, Invoices, and Payouts, and the Transactions dashboard 🔍 CLICK TO ZOOM
Payments flow

Mapped how a contributor's submitted work moves through PM and Finance review, invoicing, and payout — including the retry loop when a payout fails.

DESIGN STRATEGY

Ship value fast with an MVP

The payment work touched many teams, so we aimed to deliver value fast. Instead of designing everything at once, we built an MVP to test early and improve quickly.

VERSION 0

The core tools Finance needed to start managing payments.

VERSION 1

More features and workflow upgrades based on feedback and business priorities.

⏱ TIMELINE: 1 MONTH TO DESIGN, PROTOTYPE & HAND OFF THE MVP

WHAT HELPED

Weekly reviews with Product, Finance, and Engineering to:

  • Agree priorities
  • Validate workflows
  • Keep scope realistic
SCOPE

The Finance module, end to end

🧾
Transactions

Create by CSV or manual entry, edit rates & hours, void with a full audit history.

📄
Invoices

Group transactions into invoices, add/remove before finalizing, track status through the flow.

💰
Payouts

Batch invoices, fix & regenerate failed payouts, bulk CSV import/export with a full trail.

FINAL SOLUTION

A clearer way to manage payments

Clear status indicators · improved invoicing · transparent payout timelines · consistent UI patterns · accessible interactions · scalable design-system components.

Transactions dashboard

Totals, transaction value, and audit metrics, plus a full table with filter/search, bulk selection, CSV upload, and status badges.

Transactions dashboard screenshots: the main table with totals and audit metrics, the CSV upload confirmation modal, the batch processes table, and the table after saving modifications 🔍 CLICK TO ZOOM

Business benefit: reduces manual work and gives Finance a single source of truth for status and history.

Invoice management

Expandable rows reveal associated transactions, batch "create payout" actions, and lifecycle status tracking.

Invoice management screenshots: the invoices table with an expanded row showing associated transactions, the batch processes table, and a flow diagram of the invoice status logic 🔍 CLICK TO ZOOM

Business benefit: groups data into auditable invoices and removes ambiguity about what's ready to pay.

Payouts & audit log

A "Regenerate Failed Payouts" bulk action, failure reasons, and a full audit log capturing every change.

Payouts screenshots: the payouts table with associated invoices and payout records, the regenerate-failed-payouts modification history and success summary, and the audit log filtered by transactions, invoices, and payouts 🔍 CLICK TO ZOOM

Business benefit: lets Finance self-serve fixes for failed payouts and gives a transparent, auditable trail.

Contributor payments view (CrowdGen)

A contributor-facing experience with insight cards, a month-by-month breakdown, and a 3-phase status map (Transactions → Invoices → Payouts).

Contributor payments view screenshots: the CrowdGen payments overview with pending transactions, payout failures, and insights, the Payments PDF receipt, and a transaction details panel with status timeline and payout failure reason 🔍 CLICK TO ZOOM
Status map

How a transaction becomes a payout, status by status, across all three phases — the reference contributors and Finance both point to when a record looks stuck.

Business benefit: builds contributor trust by making status and failure reasons self-explanatory, reducing support tickets.

DESIGN SYSTEM

Reusable components support future payment features

A component-based UI — reusable tables, status badges, filter/search bars, modals, and bulk-action patterns — built for reuse across Transactions, Invoices, and Payouts. (A dedicated Design System case study is coming soon.)

TESTIMONIALS

Kind words from lovely humans

What teammates say about working with me.

Dawn is one of the most impressive UX designers I've worked with—combining design excellence, engineering practicality, and exceptional speed. Dawn thinks critically, asks the right questions, and consistently raises the level of work for everyone around her. She doesn't just get things done fast—she gets them done fast and well. Dawn consistently goes above and beyond what is expected of her. Dawn has a rare ability to bridge design and engineering, creating clarity and alignment across product, design, and development teams. If I were given the chance to work with Dawn again, I would gladly say yes.
